Below are our full terms of business that apply when registering as a client

services

We will provide accountancy, tax and advisory services as agreed in writing. Advisory services such as maternity planning, are based on information available at the time and should not be relied upon as a guarantee of future outcomes

The scope of services will be confirmed in your engagement letter, along with any terms and conditions that apply to providing those services.

Our responsibilities:

- Provide services with reasonable care and skill

- Comply with professional standards (ICAEW)

- Maintain confidentiality

Your responsibilities:

- Provide accurate and complete information

- Respond in a timely manner

- Ensure compliance with legal obligations

fees

Fees will be agreed in advance and may be:

- Fixed monthly fees

- Project-based fees

- Time-based fees where applicable

Payment terms: 7 days from invoice issue. Due to Anti-Money Laundering Regulations, we are unable to accept payments by cash. All payments must be made by either BACS, cheque or credit card.

We reserve the right to suspend services for non-payment. For outstanding balances overdue by more than 90 days we reserve the right to charge interest at 8% above the base rate per annum until such a time we receive payment in full or receive correspondence from you to resolve the situation.

Your quotation is based on the information you have provided to us about you and your business. If your business circumstances change, then we may adjust our fees to align with these changes. For example, if your business received a quotation based on a turnover bracket and this increases or decreases, then the fees will be adjusted to suit. Similarly, if you engage us for payroll and add more employees than we have quoted you for then, the fee will adjust with these changes.

From time to time, we will increase fees in line with inflation or increasing costs. You will be notified in advance of any changes.

Our liability is limited to the extent permitted by law.

We are not responsible for losses arising from:

- Incomplete or inaccurate information provided by you

- Third-party actions

- Changes in legislation

We will keep all client information confidential unless required by law or regulatory obligation.

data protection

We process personal data in accordance with our Privacy Policy.

use of software & third-party systems

In delivering our services, we may use third-party software providers, including cloud-based accounting systems such as Xero and other digital platforms.

Access and usage

Where appropriate, you may be provided with access to these systems. You are responsible for:

- Maintaining the confidentiality of login credentials

- Ensuring information entered is accurate and complete

- Using the software in accordance with its intended purpose

Data processing

By engaging our services, you acknowledge and agree that your data may be processed and stored using these third-party systems.

We take reasonable steps to ensure that all providers used maintain appropriate levels of security and data protection.

Limitation of responsibility

While we take care in selecting reputable providers, we are not responsible for:

- System outages or downtime

- Data breaches outside our control- Errors arising from third-party software functionality

Costs

Where software subscriptions are required, these may:

- Be included within your service package

- Or charged separately, as agreed

We are required to verify your identity and may request documentation before commencing work.

We may also be required to report suspicions to relevant authorities without notifying you.

We are regulated by the ICAEW and adhere to its Code of Ethics.

complaints

If you are not satisfied with our service, please contact us in writing.

If unresolved, you may refer the matter to the ICAEW.

termination

Either party may terminate the agreement with notice given in writing or via email.

Outstanding fees remain payable.
